Your tasks and responsibilities The primary responsibilities of this role, Deputy Director Operations Excellence, are to: Speakers Bureau Management: Deputy Director, Operations Excellence has decision-making responsibility of overseeing the cross-divisional Speakers' Bureau process within US Pharma & Radiology by working closely with the external speaker bureau vendor partner to support the Marketing Organizations' strategic objectives regarding the execution of speakers programs and ensuring consistency in adherence to required compliance policies and guidelines. Partners with Bayer Corp Compliance, Procurement, and Brands to oversee the cross-divisional speaker bureau on-boarding processes (including annual justification, fair market value review, nominations and renewals, contracting and SOW approvals) for all brands and ensure that policies and procedures are followed both internally and externally Serves as single point of contact and liaison for Speakers Bureau Vendor and brands for key internal and external communication regarding speaker programming. In the process also assumes role of first-line \"go-to\" person for internal stakeholders within Bayer (Legal, Controlling, Compliance, Brands, IT, Field Ops, etc.) for matters related to Speakers Bureau. In alignment with Corporate Compliance, develops and implements speaker programprocess(es) and system training for sales and marketing. Partners with vendor to develop and update training materials, as needed. Leads the implementation of tactical speaker bureau plans across all brand teams bymanaging initiative timelines, implementing program, managing and prioritizing project and process workload. Provides regular performance reports to brand teams on program statistics and monitors metrics to determine if tactical execution, speaker utilization and program systems(s) are meeting business needs. Analyze trends, evaluate other program enhancement opportunities and update processes when appropriate change is necessary Facilitate and participate in Brand Quarterly Business Reviews, schedules and leads SB Steering Committee meetings Leads the development of cross-functional teams to identify opportunities to address internalcustomer needs through continuous divisional PRT training needs, coordinates with IT, global IMCM support, Veeva and divisional stakeholders to implement Veeva Vault system enhancements. Coordinates with MarComm and training vendor to develop, update and maintain e-modules for Veeva Vault system training for US users Coordinates with Learning Management System (LMS) team to ensure accurate documentation and reporting of Veeva Vault training for US Bayer users and US Agency users for compliance and audit purposes Collaborates with divisional process owners to implement recommendations from the ACT committee to ensure compliance and efficiency of the cross-divisional PRT process Collaborates with divisional process owners and stakeholders to address PRT operational issues and concerns, interface with the MarComm Council to funnel PRT issues to the (ACT). Communicates ongoing PRT changes and updates for the organization. Serves as member of the ACT committee Operations Excellence and Simplicity: Incorporates disciplined fact based approach tocontinuous improvements (Lean, Simplicity, Change leadership) and apply across various disciplines. Organize, lead and manage activities with internal / external consultants and senior sales and marketing personnel to construct project frameworks, providing strategic directionand coordination of continuous improvement initiatives designed for improving the effectiveness and operational excellence of the Marketing Operations team, i.e. improve efficiencies, streamline processes, improve speed, reduce cost and share industry best practices. Monitors efficiency and effectiveness of others/processes and takes corrective action. Explore internal/external benchmarks and identify innovative ways to improve value-add services to ourinternal clients. Implements and manages key quality metrics and performance standards ADDITIONAL DUTIES AND RESPONSIBILITIES Centralized financial reconciliation for promotional speaker programs, the central role for reconciling all invoices and other financial documents against payments upon speaker programs completion and close out. Role focuses on driving consistency in the financial reconciliation process across brands and drives adherence to the established requirements to ensure accurate payments for services rendered by Speaker Bureau vendor. The role serves as a value-add support service and partner to the Marketing teams for the execution of speakers programs, and is responsible for specific project management responsibilities as assigned bythe Deputy Director for Marketing Operations. Receives and reviews monthly invoices for all brands as related to Speakers' Bureau programs Reconciles 100% of invoices against 100% of charges/receipts in speaker bureau vendor system; notifies brands of approval to pay invoices in YourDocs Identifies discrepancies and notifies speaker bureau vendor timely for resolution (cc: brand) Works closely with Compliance to ensure that all reportable charges are accurate as needed for government reporting Attends monthly finance meetings with speaker bureau vendor to monitor budgets of brands and follow-up as needed with brands to ensure their awareness and any next steps (i.e. PO increase) Leads Speaker Bureau Core Team meetings, sharing latest trends, issues, best practices, change management approaches as needed. Provides regular performance reports brand teams on program statistics, analyze trends, monitors metrics to determine if tactical execution, speaker utilization and program systems(s) are meeting business needs. Responsible for triaging issues / questions and escalations involving financial reconciliation including, but not limited to compliance to appropriate constituents for resolution in line withorganization's compliance goals and objectives. Field Force Credentialing Process Oversight Manage issues / requests from field or internal Bayer regarding questions or problems around credentialing: Work with contact at Vendormate to manage issues as they arise Work with internal Bayer contacts on Vendormate needs (ie, Legal review of communications) Manage list of sales rep users and remove those that no longer require Vendormate access Sales Administration Responsibilities Manage field force administrative responsibilities such as: Field Force Roster management for all sales forces, market access, etc. Field force intranet site management (SalesView) Field force Hospital Display Grant Request processing for all field forces executing this tactic Who you are Your success will be driven by your demonstration of our LIFE values. More specifically related to this position, Bayer seeks an incumbent who possesses the following: Required Qualifications: Bachelors' degree, Minimum of 12 years of work experience in the Pharmaceutical, Biopharmaceutical or Biotechnology industries strongly preferred and related work experience in an operational environment 3 or more years of strong Project Management skills and experience Strong oral and writing communication skills required. Vendor management and relationship experience Customer-focused Mentality Preferred Qualifications: MBA Work experience and/or knowledge of Marketing Operations functions, such as: Brand Marketing, Marketing Communications, Agency Management or Communications, Speakers Bureau, Legal, Medical and Regulatory process Meetings and Conventions and related technology platforms and other Marketing services activities Application of project management tools Working knowledge of process improvement techniques and tool Previous work in a highly regulated area/industry, preferable pharmaceuticals Maintain ongoing understanding of state and federal disclosure requirements, and emerging compliance trends in the Pharma industry Maintain current and comprehensive understanding of evolving landscape of regulations and practices related to promotional speaker engagements Thorough understanding of the Legal, Medical and Regulatory process and governing policies Speaker program operations experience Experience working with the Legal, Medical and Regulatory (LMR) team Operations experience Technical and functional knowledge of systems and processesSalary Range: NAMinimum Qualification11 - 15 years
